How we will use your information
Your information will be used to assess and administer the entitlement to free school meals or to re-assess your child's/children's entitlement to travel assistance.
Who else it will be shared with
For travel assistance your information will be shared with the school that your child/children attend. It may be shared with other Council divisions, government departments and National Express West Midlands.
For free school meals your information will be shared with the school your child/children attend. It may be shared with partner organisations including the Department for Work & Pensions, HM Revenue & Customs and the Home Office to confirm eligibility. It may be shared with other divisions of the Council if you are no longer entitled to free school meals.
Your personal information may also be shared with other Council services and partner organisations to ensure our records are kept accurate and help us to identify services you may be entitled to or interested in.
How long it will be kept
The information you submit will not be kept for any longer than is needed. The length of time will depend upon whether the Council has a business need for keeping the information and/or if the law requires that we keep the information for a particular length of time.
For travel assistance the information that you provided will be kept for 7 years after the end of your claim for travel assistance and/or after your child/children completes year 7, year 11 or year 13 (as applicable) of their education.
For free school meals your information will be retained for the length of your claim for free school meals and then for 3 years after the end of your claim.
How we will ensure it is accurate
Council staff will contact you to ask you to confirm your information, if applicable.
The accuracy of the information that you have submitted will be confirmed with the school that your child/children attend. It may also be checked with external organisations, including the Department for Work & Pensions, HM Revenues & Customs and the Home Office to confirm eligibility. Its accuracy will be checked against other documents provided by you or the school or external organisations.
How we will safeguard it
The information will be kept in a secure office environment. It will be held on computer databases that can only be accessed by authorised members of Council staff.
