This is the privacy statement for the Contact Environmental Health form.

Contact details

The information you submit will be held by the Places Directorate who can be contacted on tel 0121 704 8000 or by post at Solihull, West Midlands, B91 9EG.

How we will use your information

Your request to be contacted by Environmental Health will be logged onto a computer system.

You will be contacted by Council staff to determine the type of enquiry you have and to find out more detail. We may need to send you monitoring forms if the issue regards noise or pollution. If you do not return these record sheets within 4 weeks of them being issued to you, we will send you a reminder. If you do not respond within 2 weeks and return the record sheets we will assume that you no longer wish to continue with your report about Environmental Health and it will be considered closed.

We may also visit the area where the matter occurs to witness it.

If we do receive your record sheets we will assess them and decide if there is enough evidence to take action.

Who else it will be shared with

If we obtain evidence that the matter is causing annoyance, we will inform the occupiers of the property where the problem occurs. We will not tell the occupiers that you were the person who reported the problem without your permission. If the occupiers tell us that they think it was you who reported the problem we will neither confirm nor deny this.

If the Environmental Health case is referred to the Magistrate's Court, for instance if the occupier appeals against or breaks an Abatement Notice, then your personal details may have to be revealed to the occupier, the Magistrates' Court and any solicitors/lawyers involved in the case. We will not reveal your personal details without contacting you and asking if you wish us to take the case to court.

However, your personal data may be shared with other Council services and partner organisations to ensure our records are kept accurate and to help us to identify services you may be entitled to or interested in.

How long it will be kept

The information you submit will not be kept for any longer than is needed. The length of time will depend upon whether the Council has a business need for keeping the information and/or if the law requires that we keep the information for a particular length of time.

How we will ensure it is accurate

When Council staff contact you about your report they may double check your personal details, if necessary. Otherwise, as you supplied your personal details, it will be assumed that they are accurate.

How we will safeguard it

The information will be kept in a secure office environment. It will be held on computer databases that can only be accessed by authorised members of Council staff.
