This is the privacy statement for the Comment on a Planning Application form.

Your information will be held by Development Control who can be contacted on telephone 0121 704 8008 or on email planning@solihull.gov.uk or by post at Planning Services, PO Box 11652, Solihull, B91 9YA.How we will use your information
The information you provide will be accessed and used by Council staff in order to process your comment as part of the planning application. Your comment will be logged on computer databases for recording purposes and then passed to authorised Council staff. It may also be used to monitor the performance of Development Control and to identify trends within our service. We may contact you with details of similar applications at the same location.
Who else it will be shared with
The information you provide may be shared with other Council services and partner organisations to ensure our records are kept accurate and help us to identify services you may be entitled to or interested in. The information will also be added to the public planning register which may be viewed online or at Solihull Connect, Central Library. In certain circumstances we may be required to release your details to the Planning Inspectorate for use during planning appeals that have been lodged with them. The Planning Inspectorate may publish your comments in full on their website.
Comments on planning applications form part of the Statutory Register and the local planning authority has a duty to make this information available. In all cases telephone numbers, e-mail addresses and signatures will be removed on our web site as well as when published on the Planning Inspectorate's. You can request to have your name and address removed from online publication however, your comment will be treated as an anonymous comment and this may be treated differently from one with which we can identify the location of the person's making the comment/objection home or place of work.

How long it will be kept
The information you submit will not be kept for any longer than is needed. The length of time will depend upon whether the Council has a business need for keeping the information and/or if the law requires that we keep the information for a particular length of time. Details published online will be potentially viewable by anyone in the world using the internet.
How we will ensure it is accurate
The information captured by Development Control and recorded onto a secure database will be compared with other CRM system links into the Council's other systems to ensure that information is accurate. To help keep our records up to date when customers contact the contact service the information that we hold on CRM will be confirmed and changed as required. These changes will be passed to the Information Management Team who will co-ordinate the amendment of other Council systems.
How we will safeguard it
The information will be kept in a secure office environment. It will be held on computer databases that can only be accessed by authorised members of Council staff.
All staff undergo training and understand the importance of data protection. Access to the Council's systems is via password control so that only people who need to access your information in order to provide Council services are able to.
